Things personal trainers usually ask us first

Can I claim gym membership, fitness equipment, and branded clothing as business expenses?+

Gym membership is generally not allowable as a personal trainer expense, because HMRC treats it as serving a dual personal and business purpose. Equipment used exclusively for client sessions is a different matter and is usually allowable. Branded clothing with a permanent logo can qualify; generic sportswear typically does not. CPD courses, first aid certification, and specialist training directly related to your work are allowable in most cases. We review your expense list properly rather than applying a blanket rule, because the details matter.

How much does it cost, and what exactly is included?+

Self assessment is a fixed one-off annual fee of £150. That covers preparation of your SA100 and SA302, income from all sources, claiming applicable allowances and reliefs, advice on payments on account, and submission to HMRC. If you also need bookkeeping, VAT returns, or limited company accounts, those are quoted separately and clearly before any work begins. There are no add-ons applied after the fact.

My books are a bit of a mess. Can you still help?+

This is a common starting point. We handle catch-up bookkeeping regularly, and the first step is always a clear assessment of where the records are and what it will take to bring them up to date. We give you a cost for that before beginning, so there are no surprises. Once caught up, the ongoing work is straightforward.

Is there a long-term contract I have to sign?+

No. One-off services such as self assessment are exactly that: one-off. For ongoing services such as bookkeeping or VAT, we work on a rolling monthly basis with no minimum term. If you decide it is not working, you leave with your records in good order and nothing further owed.

I earn income from online coaching and digital programmes as well as in-person training. Does that change anything for tax?+

It can, particularly if the digital income crosses the VAT registration threshold on its own or alongside your other earnings. Income from online programmes, downloadable plans, or recorded content is all assessable income and needs to be included in your self assessment. If you are selling digital products to customers in the EU, there are additional VAT considerations worth reviewing. We look at the full picture, not just the gym-floor income.

At what point does it make sense to set up a limited company?+

There is no single threshold, but for most personal trainers the decision becomes worth examining when net profit from self-employment consistently exceeds around £30,000 to £35,000 per year. The tax saving needs to outweigh the additional compliance costs, which include company accounts, a corporation tax return, and a confirmation statement. We can run through the numbers with your actual figures before you make any decision, so the comparison is based on your situation rather than a general rule.
