Accountants for Personal Trainers

Accountants for Personal Trainers

Your fitness business finances, handled.

Most personal trainers are excellent at what they do and considerably less certain about what they owe HMRC each January. We work with self-employed PTs and fitness professionals across the UK — sole traders, limited companies, and everything in between. Qualified accountants, fixed fees from £150, same-day replies.

  • Self assessment filed accurately, well before the January deadline
  • Your allowable expenses claimed properly — kit, travel, insurance, and more
  • Know your tax bill months in advance, not the week it is due
  • Switch to us in under a week, even if your books need catching up

No long-term contract. If it is not working after three months, you leave with clean books and nothing owed.

Sound familiar?

Running sessions all week, then dreading January.

Personal trainers are typically self-employed, often juggling multiple income streams — gym floor, online coaching, classes, merchandise — and rarely have time to think about tax between clients. The January self assessment deadline arrives faster than expected, and the question of what is actually deductible is usually answered by guessing. That is a reasonably expensive way to operate.

  • Not sure which expenses are allowable — kit, travel, home office, subscriptions
  • No clear picture of your tax bill until January is already upon you
  • Books out of date and no appetite to spend a weekend sorting them out

What sorted looks like

A qualified accountant who already knows how personal training income works — multiple streams, irregular payments, allowable expenses — takes the guesswork away. Your return is filed correctly, your bill is known well in advance, and your books are current.

  • Every allowable expense claimed — equipment, CPD, travel, professional indemnity insurance
  • Tax liability calculated and communicated months before the payment deadline
  • Books caught up and kept current — no end-of-year scramble
  • Fixed fee from £150 — no surprises on the invoice either

We work with sole traders and small business owners across the UK. Here is what two of them said about the experience.

★★★★★

Working with Prad is an absolute lifesaver as someone just starting out in the business world. Being new to everything, it can feel incredibly overwhelming, but Prad makes the whole process straightforward and stress-free. His knowledge of UK accounting and HM Revenue & Customs is second to none, and he always takes the time to explain things clearly rather than leaving me confused.

Why Wings Online Filings

What makes us the right fit for personal trainers

Three reasons the accountants personal trainers choose tend to come back to, year after year.

💷

Fixed fees, no hidden additions

Self assessment is £150. Limited company accounts and corporation tax are £250. Those prices are published, not negotiated. We also back them with a price match promise: show us a lower quote from another accountancy firm and we will match it. Which is, frankly, the way pricing should work.

📋

Plain English, not accountant-speak

We explain what your numbers mean, not just what we filed. If your tax bill is going up, you will know why and what can be done about it before it becomes a problem. Personal trainers should not need a finance degree to understand their own accounts.

🌐

Fully online, no office visit needed

Everything is handled remotely — documents shared securely, queries answered by email or call, accounts filed without you needing to be in the same city. We work with personal trainers across the UK from London, using Xero, QuickBooks, and FreeAgent.

Getting started

Up and running in four steps

Most personal trainer clients are set up and have their first questions answered within a week. Here is what the process looks like.

1

Get a free quote

Fill in the short form on this page or call us on 020 8089 1876. Tell us how your income is structured — sole trader, limited company, or both — and we will confirm the fixed fee before anything else happens.

2

Share your records

Send us what you have — bank statements, invoices, receipts, a spreadsheet, or access to your existing cloud software. If the books are behind, we handle catch-up work as part of the onboarding. You do not need to tidy anything up first.

3

We prepare everything

Your accounts, tax return, or filings are prepared by a qualified accountant. We identify every allowable expense relevant to your work as a personal trainer and flag anything that needs a decision from you. Clear and concise, not a wall of numbers.

4

Filed, done, no surprises

Everything is submitted to HMRC and Companies House on time. You receive a plain-English summary of what was filed, what you owe, and when. The next deadline goes in the calendar. Your books are current. Considerably less to think about.

Questions

What personal trainers usually ask us

Do you understand how personal training income actually works — multiple clients, class payments, online programmes?+

Yes. Personal trainers typically earn from a mix of one-to-one sessions, group classes, online coaching subscriptions, and occasionally merchandise or affiliate income. We account for each stream correctly and know which expenses — CPD courses, equipment, travel between clients, professional indemnity insurance, gym membership used for work — are deductible and which are not. You will not need to explain the industry before getting a useful answer.

What does it actually cost, and what is included?+

Self assessment for a sole trader personal trainer is a fixed £150 one-off annual fee. That covers preparation of your SA100 and SA302, income from all sources, all applicable allowances and reliefs, payments on account advice, and timely HMRC submission. If you operate through a limited company, annual accounts and corporation tax return are £250. Bookkeeping and VAT returns are quoted based on transaction volume. We also stand behind a price match promise — show us a lower quote from another firm and we will match it.

My books are a bit of a mess. Can you still take me on?+

That is not an unusual situation. Most clients who switch to us arrive with records in some state of disarray — missing receipts, unreconciled transactions, or nothing filed in twelve months. We offer catch-up bookkeeping as a separate service, and we will give you an honest quote before starting so there are no surprises. Once the catch-up is done, ongoing work is straightforward.

Am I locked into a contract?+

No. Fixed-fee compliance work — self assessment, annual accounts — is priced per filing, so there is no ongoing commitment by default. If you take monthly bookkeeping or another ongoing service, we work on a rolling basis with no minimum term. You can leave at any point, and we will hand over everything in good order.

I am thinking of moving from sole trader to a limited company. Can you advise on that?+

Yes. Whether incorporation makes sense depends on your profit level, the way you want to extract income, and your longer-term plans. We can run through the numbers with you, explain the salary and dividend approach that most director-shareholders use, and handle the company formation if you decide to proceed. We are an Authorised Corporate Service Provider registered with Companies House, so the secretarial side is handled in-house.

How far in advance will I know what my tax bill is going to be?+

With current bookkeeping in place, we can give you a reliable estimate of your tax liability well before the January payment deadline — typically by October or November at the latest. That gives you time to set funds aside or adjust your approach rather than discovering the figure when the bill arrives.
