Sound familiar?

Creative work pays well. The admin rarely keeps up.

Agency finances tend to be messier than most. Project revenue arrives in lumps, freelancer invoices pile up mid-month, and VAT on creative services has its own complications. If you crossed the VAT threshold quietly, or if your books are six months behind, you are not alone. It is a situation most agency owners end up in at some point, and it is entirely fixable.

  • VAT registration threshold crossed without a clear plan in place
  • Freelancer and contractor costs sitting unreconciled across multiple invoices
  • No reliable view of cash flow between large project payments

What sorted looks like

Your books are current, your VAT is filed correctly, and your year-end holds no surprises. We handle the compliance so you can spend your time on client work rather than accounting software.

  • VAT monitored and filed correctly, with scheme advice if it would save you money
  • Freelancer and subcontractor costs properly recorded and categorised each month
  • Management accounts or cash flow summary available when you need a clear picture
  • Fixed fees published upfront, with a quote before any work begins

What you get

Accounting built around how agencies actually work

Project-based income, variable costs, and seasonal cash flow all need an accountant who understands the shape of an agency. Here is what we cover.

01

Bookkeeping & VAT Returns

Your books are kept current each month using Xero, QuickBooks, FreeAgent, or Sage, whichever you already use. VAT returns are prepared and filed quarterly under Making Tax Digital, with scheme advice (Standard or Flat Rate) if a switch would reduce your liability. You will not be caught out by a threshold you did not know you had crossed.

Ongoing monthly support
02

Year-End Accounts & Corporation Tax

Annual statutory accounts and your CT600 corporation tax return are prepared and filed with HMRC and Companies House. The fixed fee covers your Profit and Loss account, Balance Sheet, and tax computation, including a review of any available reliefs. Your year-end is handled properly, on time, and without a last-minute rush.

Fixed fee from £250
03

Payroll, Contractors & Tax Planning

Whether you pay employees, use freelancers, or pay yourself as a director, we handle payroll processing, RTI submissions, and P60 reporting. We can also look at the most tax-efficient way to pay yourself alongside any dividend planning. Knowing your likely tax bill well ahead of the payment date is considerably more useful than finding out at year-end.

End-to-End Process Finished in Weeks

“Wings Online Filings are such a great find! I dealt with Prads, who has been nothing short of helpful in helping me wind up my business and accounts. I was a bit of a DIY guy using FreeAgent and Mettle and unconfident that my accounts were in a proper state for submission. Prads made everything super simple and has just finished the whole process end to end in a matter of weeks. Would highly recommend. Thanks again!”

Why Wings Online Filings

What sets us apart from a general accountant

Creative agencies have specific financial patterns. Here is why that matters when choosing an accountant.

📊

We Understand Project-Based Revenue

Lump-sum project fees, retainer income, and irregular payment schedules all require bookkeeping that reflects how your business actually earns. We categorise income and costs in a way that gives you a useful picture of each project and the agency as a whole. A general spreadsheet approach tends to obscure more than it reveals.

🧾

VAT Handled Before It Becomes a Problem

Creative services VAT has its own considerations, including the VAT threshold, scheme selection, and the treatment of disbursements passed on to clients. Your VAT position is monitored so you are registered at the right time, on the right scheme, and filing accurately each quarter. You will not wake up to a registration obligation you were not expecting.

🔒

Qualified, Regulated, and Covered

We are qualified accountants, an Authorised Corporate Service Provider registered with Companies House, and AML-supervised by HMRC. Professional indemnity insurance is in place. For an agency owner, that means the work is done by someone accountable and properly credentialled, not a bookkeeper operating without oversight.

Getting started

Up and running in four straightforward steps

Most clients are set up and have their first deliverables back within a couple of weeks. Here is what the process looks like from your side.

1

Request a Free Quote

Fill in the short form on this page or give us a call. Tell us roughly where your books are, which services you need, and the size of the agency. You will get a fixed quote back the same day, with no obligation to proceed.

2

We Review What You Have

If the books are behind, we assess what catch-up work is needed and factor it into the quote. If you are switching from another accountant, we handle the handover. You do not need to have everything in order before making contact.

3

We Take Care of the Work

Once you are onboarded, we get on with the bookkeeping, VAT, payroll, or year-end accounts as agreed. We use your existing cloud software where possible and request information from you in short, clear batches rather than long document lists.

4

Your Agency’s Finances Are in Order

Filings go in on time, your tax position is visible well ahead of payment dates, and your books give you an accurate picture of how the agency is performing. The parts of running a business that most agency owners find the least interesting are largely off your plate.

Questions

Things agency owners usually ask us first

Do you understand how creative agencies bill clients, including retainers, project milestones, and expenses passed on to clients?+

Yes. We work with agencies whose income arrives in a mix of retainers, milestone payments, and one-off project fees, and we know that disbursements billed to clients need to be treated differently from agency turnover. We set up the bookkeeping to reflect your actual billing model rather than forcing your income into a generic template.

What does it cost, and what is included in the fee?+

Year-end accounts and corporation tax return is a fixed £250 one-off annual fee. That covers your Profit and Loss account, Balance Sheet, CT600, and submission to both HMRC and Companies House. VAT, bookkeeping, and payroll are quoted based on the size and complexity of your agency. You get the full quote before any work starts, and the fee does not change unless your requirements do.

My books are behind and things are a bit disorganised. Is that a problem?+

No. Most agencies that come to us have some degree of catch-up needed, whether that is a few months of unreconciled bank transactions or a full year of incomplete records. We assess the catch-up work as part of the initial quote, agree a fee to bring everything current, and then move into an ongoing arrangement if that suits you.

Is there a long-term contract?+

No. For one-off services such as year-end accounts or a self assessment return, you pay a fixed fee for that piece of work and that is it. For ongoing bookkeeping or VAT, we work on a monthly basis with no minimum term. If it is not the right fit, you leave with clean, up-to-date records and nothing outstanding.

We use freelancers regularly. Does that complicate our tax position?+

It can do, depending on the nature of the working arrangements. We can review how your freelancers are engaged and whether those arrangements are consistent with HMRC’s IR35 and employment status guidance. Getting this right early is considerably less expensive than addressing it after a compliance review.

Can you help us understand what our tax bill is likely to be before the end of the year?+

Yes. For limited company clients, we can produce management accounts or a mid-year tax estimate so you know what corporation tax is likely to be due and when. That gives you the opportunity to plan cashflow around the payment date rather than finding out after the year has closed.
